HIPAA risk assessment for a small clinic or dental practice

Short answer: Every clinic and dental practice that handles patient information must complete a HIPAA Security Rule risk analysis, no matter how small. For a single office it usually takes 2 to 4 weeks, depending on size and systems, and ends with a written report and a prioritized fix list. Your IT provider makes the fixes; the analysis tells them what matters most.

What it covers

  • Where patient information lives: your electronic health record (EHR), practice management and imaging software, email, scanners, backups and phones.
  • Who can get to it, and how: logins, shared front-desk accounts, MFA, remote access for the dentist or doctor at home.
  • What could go wrong: ransomware, a lost laptop, a staff member tricked into giving up a password, a vendor breach.
  • How likely and how harmful each risk is, written so an office manager can follow it.

What dental and small clinics often miss

  • Imaging workstations and X-ray sensors running old software.
  • Shared logins at the front desk.
  • Backups that sit on the same network as everything else.
  • Vendors with remote access that nobody has reviewed in years.

What you should have at the end

  • A written risk analysis dated this year.
  • A prioritized fix list in plain English, so your IT provider knows what to tackle first.
  • Documentation organized around what insurers, health plans and OCR commonly request.
FAQ

Common questions

Is a free online HIPAA checklist enough?

A checklist can help you get ready, but OCR expects an accurate and thorough analysis of your own systems and risks. A generic checklist does not meet that standard.

How often should a small practice redo it?

HIPAA does not set a fixed schedule. Many practices review it every year and after a big change, such as a new EHR, a move or a breach.
